Personnel Records Leaves Clerk

Keeping our personnel records accurate and up-to-date is vital since so many decisions are based on those records. That’s why our Personnel Records Leaves Clerks are so important to the company and to our associates.

The Personnel Records Leaves Clerks determine associates' eligibility for leave, including absences under the Family Medical Leave Act (FMLA) and Disability Leave. Closely following the leave regulation requirements, the Clerks review all absences and determine which qualify. The Clerks also complete Prior Period Absence Adjustments (PPAs) when the appropriate amount of absences are not submitted on a weekly basis to allow the leave of absence to exhaust timely and accurately. Furthermore, the Clerks complete weekly and monthly reports to research and verify that Publix associates take the appropriate amount of leave and that it is documented correctly.

The integrity of this information is so important to the company – and to associates – that Personnel Records Leaves Clerks must be have a passion for accuracy and the ability to keep information confidential. Each week the Personnel Records Leaves Clerk team handles thousands of phone calls from managers and associates who have questions about our processes. They do so promptly and with the same premier customer service that we offer customers in our stores.

Qualifications we look for

  • Associate's Degree in Human Resources or related field
  • Experience in Human Resources
  • Basic knowledge of SAP and Microsoft Office (Word and Outlook)
  • Knowledge of the guidelines in processing a leave of absence record
  • Knowledge of the FMLA and Disability Leave eligibility requirements
  • Knowledge of automatice calculations needed in processing a leave of absence for situations that involve manual intervention
  • Excellent customer service skills, including professional telephone etiquette
  • Good written and verbal communication skills
  • Knowledge of general office practices and procedures
  • Ability to meet deadlines while handling a high volume of work, and to do so with accuracy and thoroughness
  • Ability to work independently and take initiative in solving problems
